Seeking Full-Time Administrator


Position Summary:

The Greater Kansas City-Topeka Psychoanalytic Center is looking for an experienced Administrator/Office Manager to join and support our accomplished team of volunteers. The Administrator will perform a variety of administrative and strategic tasks, including managing email, scheduling and attending committee meetings, maintaining the academic calendar, and collaborating on process improvements. For this position, you should be able to utilize your organizational skills to manage your office space and time, whether in the Center’s office or your own remote location. Ultimately, this person will support our Institute Director and Center President, to ensure day-to-day operations run smoothly, as well as the myriad responsibilities inherent in an academic institution.

 

Key Roles:

  • Be the point of contact for communication among all volunteer faculty, volunteer Committee Chairs and teams, Center members, vendors, Candidates (students), APsaA (American Psychoanalytic Association), and independent contractors
  • Maintain calendars, both on the website and for all meetings and events
  • Coordinate submissions for continuing education credit to APsaA
  • Maintain efficient documentation, filing and password systems
  • Plan meetings and take detailed Minutes
  • Manage and attend events
  • Create and manage the annual budget
  • Manage accounts payable and receivable, including the checking and savings accounts
  • Coordinate the annual Center Membership drive and Center programs
  • Collaborate on marketing efforts (brochures, website, social media, etc.)
  • Manage information flow in a timely and accurate manner
  • Manage supervisor/advisor reporting and faculty documentation
  • Collaborate with colleagues to make process improvements, to research technology solutions, and to update forms and manuals
  • Manage Friday classrooms, including AV setup and troubleshooting
  • Perform basic backend website postings and updates
  • Coordinate all email marketing campaigns
  • Coordinate the newsletter three times a year
  • Some weekend and evening hours required 

Education/Experience:

  • Bachelor’s degree required
  • Proven work experience as an Administrator or Office Manager, or similarly responsible role
  • Volunteer management preferred

Skills:

  • Organization, high attention to detail
  • Excellent oral and written communication skills
  • Discretion and confidentiality
  • Working knowledge of various software programs, including Microsoft 365, Zoom, payment platforms such as Giving Tools and PayPal, survey platform such as Survey Monkey, databases, QuickBooks, Adobe Acrobat, website builder such as Jimdo
  • Ability to multitask and prioritize
  • Interest or experience in the field of psychology or psychoanalysis is a plus!

 

The role is full-time with paid time off 3 weeks/year plus holidays.

Fridays are required at the GKCTPC office, but all other hours can be arranged to be performed remotely as needed. Company laptop provided.

Salary: $52,000/year
